Tracking Help

If you need help checking where a parcel is, this guide shows how to read tracking updates and what each step means. It is written for small online shops shipping from places like Woodmead, Midrand, Sandton and beyond.

Start with the tracking reference from your booking

After a pickup is booked, every shipment gets a tracking reference. Use that reference first, because it links the parcel to the right courier service, route and delivery address. For small shops handling several orders a day, this is the quickest way to avoid mixing up two parcels that look the same.

Check that the reference matches the order you are following. If you copied it from a packing slip or admin sheet, make sure there are no missing digits or extra spaces. A single wrong character can return the wrong result or no result at all.

  • Confirm the reference number exactly as shown on the booking.
  • Match the parcel to the customer name, suburb and order date.
  • Keep one tracking note per order, especially when dispatching in batches.

How to read the most common delivery updates

Tracking updates are short status messages that show where the parcel is in the process. They do not always change every hour. In South Africa, a parcel may move from booked to collected, then into line haul, then out for delivery, with a few quiet periods in between.

If you are shipping from Johannesburg to Cape Town or Durban, the parcel may spend time in transit overnight. That is normal, especially on national routes. When load-shedding affects a depot or a scanner is offline, an update can appear later than expected even though the parcel is already moving.

  • Booked: the pickup has been arranged but the parcel has not yet been collected.
  • Collected: the driver has taken the parcel from your shop or collection point.
  • In transit: the parcel is moving between depots or cities.
  • Out for delivery: the parcel is on the last leg to the receiver.
  • Delivered: the parcel has reached the address and the delivery is complete.

What to do if the status has not changed

If the tracking page has not changed for a day or two, first check the route. A local delivery in Pretoria should move faster than a national transfer to Gqeberha, so the expected timing is different. Also check whether the parcel was collected after the cut-off time, because that can push the first scan to the next working day.

For shops sending out several parcels, delays often come from one of three things: an incorrect suburb, a missing unit number, or a customer who was not available when the driver arrived. Coastal humidity in places like Durban can also slow handling if packaging is weak, so keep parcels sealed and clearly labelled.

  • Review the delivery address and contact details.
  • Check whether the parcel missed the daily pickup cut-off.
  • Look for a new scan after overnight sorting or the next business day.
  • Make sure the parcel label is still readable and secure.

When the parcel shows delivered but the customer cannot find it

Sometimes a tracking update says delivered, but the customer cannot see the parcel. In many cases it has been handed to a receptionist, security point, neighbour or office receiving area. This can happen in Sandton office parks, apartment blocks, or sectional title complexes where access is controlled.

Start by checking the delivery address again and asking the customer to look at their receiving points. If the parcel went to a workplace, ask whether the mail room or security counter signed for it. If the address is in a complex, confirm whether the unit number and estate name were complete.

  • Ask the customer to check with reception, security or the mailroom.
  • Confirm the exact address used on the booking.
  • Check whether proof of delivery notes include a name, initials or gate reference.
  • Escalate only after these checks are done, so time is not wasted.

Tracking support for returns and exchanges

Returns collections need the same level of tracking as a normal delivery. If a parcel is being sent back because of a size issue, wrong item or change of mind, follow the reference from the return booking and keep the original order number with it. That makes it easier to see whether the parcel is on the way back to your shop or waiting for collection.

For small online shops, returns can pile up quickly after weekend sales or month-end promotions, so clear tracking notes help keep stock counts accurate. If the parcel is moving between Johannesburg, Pretoria and Midrand, separate the return from fresh outgoing stock so nothing gets mixed up.

  • Use the return reference, not the original outbound reference alone.
  • Keep the return reason on file for refunds or exchanges.
  • Check whether the parcel is returning to your base, a warehouse or a home office.

When to ask for help and what details to include

If you still cannot make sense of the shipment status, send the details through the enquiry form on the contact page. The more accurate the information, the quicker the support team can check the route and the latest scan. This is especially useful when you are handling multiple parcels from one trading day and need a clear answer before customers start asking questions.

Have the reference number ready, plus the pickup suburb, delivery suburb and order date. If the parcel is urgent, mention whether it is a local delivery or a national shipment. That helps the team check the right movement stage and give you practical next steps.

  • Tracking reference
  • Pickup suburb and delivery suburb
  • Order date and booking time
  • Any notes about access, offices or estates

Questions we get asked

Why is my tracking not updating every few hours?

Tracking only changes when the parcel is scanned at key points. A quiet period is normal while it is in transit, especially on overnight national routes.

What does out for delivery mean?

It means the parcel is on the driver’s route for final delivery that day. Delivery timing can still depend on traffic, access control and the number of stops on the route.

What should I do if the parcel was marked delivered but the customer says it is missing?

Check reception, security, mailrooms and the full address first. If needed, send the reference and delivery details through the contact form for support.
